Please prepare your %% workshop proposal by inserting the appropriate text immediately %% following the instructions for each numbered item. %% %% Please submit completed forms in ASCII text only, by electronic %% mail to the following address: workshops@acl2007.org %% The subject line must be: "ACL 2007 WORKSHOP PROPOSAL". %% %% Due no later than December 15, 2006. %% %% Please contact the Workshops Chair by November 21, 2006, at %% workshops@acl2007.org, if you have any questions about %% the appropriate preparation of your proposal, especially with %% regard to the budget (see detailed instructions in item 4). %% All instruction lines begin with "%% ". %% %% DON'T BEGIN ANY LINE OF YOUR TEXT WITH "%%": IT WILL BE DELETED. %% 1. Title and Description (Topic, Motivation, Objectives) %% A title and brief description (max. 500 words) of the workshop %% topic, motivation, and goals. Please explicitly state the objectives %% of the workshop (i.e. give a "mission statement"). Why is your workshop %% necessary? Which similar workshops were held recently, and how does %% your workshop relate to these? %% Text beyond the 500 word limit will be ignored. 2. Target Audience and Number of Participants %% A description of the target audience and expected number of %% participants. Your estimated number will be critical in %% budgetting. Please talk to prior organizers of similar %% workshops to help you come up with an accurate number. It might %% also be worthwhile for you to contact people who you think may %% be interested in attending to get a better idea of your %% potential draw. This would be especially useful if you are %% counting on attracting participants from areas not traditionally %% associated with the ACL attendance. (At a minimum, %% please ask your PC members if they think they would attend if %% the workshop is accepted.) 3. Length and Format of Workshop %% The desired length of the workshop (half a day to two days). An %% estimated timeline and intended format for the workshop (talks, %% panel discussions, invited speaker, etc.) would be very helpful %% in evaluating your proposal. 4. Budget Proposal %% A budget proposal. Note that ACL workshops are expected to be %% self-financing. ACL provides a room sufficient for your %% registrants, standard AV equipment (overhead and data %% projector), one (shared) coffee break per half day (ie, one %% coffee break in the morning, and one in the afternoon, shared by %% all workshops), and a copy of your proceedings for your %% registrants (plus some number of extra copies). ACL will set %% the workshop fees uniformly FOR ALL WORKSHOPS OF A GIVEN LENGTH %% to cover these basic costs. ACL will also allow for the %% registration fee of one invited speaker to be waived. (As part %% of the ACL sponsorship arrangement, all workshop participants %% will be required to register for the main conference, or %% as a workshops-only participant.) Please note that the workshop %% registration fee is not waived for workshop organizers, nor are %% any other expenses covered for invited speakers or organizers, %% or special activities such as lunch or reception, or special AV %% needs. %% %% If you do not expect to have any needs beyond the standard room, %% AV set-up, coffee breaks, and proceedings that ACL provides, %% then your "budget proposal" consists of the accurate estimate of %% the number of participants that you listed in item 2 above. %% %% You cannot increase the fees of your workshop to cover any extra %% expenses. You may, however, arrange for other funding in a %% co-sponsorship arrangement (such as through a grant, or a SIG). %% If you plan to do so, you must enumerate the budget here, and %% details of how you will cover the extra costs. If your proposal %% includes sponsorship by a SIG, you must read the guidelines in: %% http://www.cis.udel.edu/~carberry/ACL/Workshops/workshops-Sig-financial-policy.html %% %% (This website is primarily for independent workshops sponsored %% by SIGs, but most info is applicable. In particular, note that %% you must get approval from the ACL treasurer to use funds from %% the SIG shadow account.) 5. Dates for Submission Deadline and Notification of Acceptances %% Proposed deadlines for submission of papers and notification %% of acceptances. Bear in mind that workshop organizers will be %% required to submit a full camera-ready proceedings to the %% publications chair on May 14. %% (You will get detailed instructions on how to do this.) %% May 14 is an absolute deadline. %% Thus the submission of camera-ready copy from authors to the workshop %% organizers should be no later than May 9. Please take these %% constraints into account in preparing your schedule. We suggest %% March 26 as a workshop paper submission deadline; this is after the main %% conference's acceptance decision. 6. Program Committee (Confirmed Members Only) %% A list of individuals who have agreed to be part of the workshop %% program committee if the workshop proposal is accepted. Please %% only list confirmed PC members. 7. Workshop Organizers and Full Contact Info for Main Contact Person %% The names of the workshop organizing committee, and full postal %% address, phone number, fax and e-mail of the contact person. 8. Additional Notes or Special Considerations %% Special technical needs like computer infrastructure, web access. %% Any Shared Tasks.
